Your DBS board
Sign in with the work account your organisation registered with, or have a link emailed to you. There's no password to remember.
Daily DBS is an independent service. It is not part of, or endorsed by, the Disclosure and Barring Service or the UK Government.

Your customers
A new board for one of your customers. The people on it come out of your own plan, and billing stays between you and them — they never see a Daily DBS invoice.
Untick to create the board without emailing anyone. You can send the link later from Users on that customer's board.
What can they do on that board?
Their people stay private from you unless they choose to share.

Records kept private
has not shared individual records with you. , and you are told straight away if any of their statuses change — but names, dates of birth and certificate numbers stay with them.
Only they can change this, from Sharing on their own board.
Owner and sign-in
Band
The most people this board may monitor, taken out of your pool. Leave it blank for no band, and the board draws from whatever the pool has left. Only the account that pays for this board can set it; the customer cannot change it.

Ask people for their own details
One link for everyone
For when there are too many people to send a link each. One link, which you put in a staff email or a group chat. Anyone who has it fills in their own name, date of birth and certificate number. It lasts 30 days, you can withdraw it at any moment, and nothing reaches your board until you confirm it — the same as the named links below.
What you give up: a named link proves the person who answered is the person you asked. A shared link cannot, so anything that arrives through it is marked as unverified when you come to check it.
| Batch | Link | Used | Expires |
|---|
A link each, by name
Paste the names of the people you want to check — names only, one per line. We make a private link for each of them. You send those links out yourself, however you normally reach your people: your own email, a staff group, a slip at induction. They fill in their own date of birth and certificate number and tick their own consent, which is better evidence than you typing it for them. Nothing reaches your board until you confirm it.
Send these out
Each link works for one person and lasts 30 days. Copy them now — for safety we only show a link in full when you ask for it.

Add people already on the Update Service
DBS records who ran each check, so we need your name before the first one.
Type across the four boxes — Tab moves you along, Enter adds them to the list. Nothing is checked or saved until you have everyone and press the button at the bottom.
| Name | Date of birth | Certificate |
|---|
0 ready to check. Look down the list before you go on — a name typed wrongly still checks fine, because DBS only matches on surname, date of birth and certificate number.
Four columns, in any order, with a heading row: forename, surname, date of birth, certificate number. Commas or tabs both work, so a copy straight out of a spreadsheet is fine.
| Line | Name | Certificate | Date of birth | Result |
|---|
Confirming consent
A status check may only be run with the individual's consent, and where you have already seen their certificate. Please confirm that for the people being added.

One thing first
Your trial started with sample data, so nothing needed signing. Adding real people means we process personal data on your behalf, so we need your data processing agreement accepted before the first import. It sets out what we do with the data, how long we keep it, and your rights to get it back or have it deleted.
Read the data processing agreement (version dpa-2026-10). On acceptance a PDF copy is emailed to you and to us.

DBS applications
How each application is going, and its result once it has come back. Opening a result is recorded, and an administrator can see who opened it.

Every check we have made
Checked every morning against the DBS Update Service. A status change raises an alert once, on the day it happens — not every day afterwards.

Roles and DBS eligibility
A role is assessed once, a named person stands behind the decision, and everyone in that role inherits the level of check, workforce and barred list settings for their DBS application. If a role changes, re-assess it — the old decision is kept.
| Role | Check available | Attested | People |
|---|
What is the role called?
Specific and short — it goes on the certificate as the position applied for. 30 characters at most.
How is the person engaged?
For the check to be free of charge, all three must be true. DBS can recover the fee and cancel a registration if the free box is ticked wrongly.
Is the work arranged by your organisation?
Rather than a private or family arrangement. A lift arranged between parents, or shopping for a neighbour, is not eligible however often it happens.
Does the role involve children (under 18)?
Which of these does the role involve with children?
Tick everything that applies. Since 1 September 2026, being supervised yourself no longer changes the answer.
How often?
Count every setting they do it in. Four separate days in a month across four different schools counts as more than 3 days in 30.
Does the role take place in one of these places?
Ancillary roles — cleaners, caretakers, receptionists, contractors — can be regulated activity because of where they work.
All four must be true for it to be regulated activity.
Is it one of these named positions?
Does the role involve adults who receive care or support?
Which of these does the role involve with adults?
Any one of these, even once, is regulated activity with adults.
If none of those: other work with adults who receive care or support
Adults in residential or sheltered accommodation, receiving care at home, health care, or services because of age, disability or illness.
Is it one of these named positions?
Anything else that applies?
Only if the role is not eligible through children or adults above.
Two last things
Your logo
Shown on your board, on alert emails and on the page people open when you ask for their details. PNG, JPEG or WebP, up to 500 KB. A wide logo on a transparent or white background works best.
No logo yet.
White label. Your name and colour replace Daily DBS on your board and on every customer board you manage. A short line naming AOW Group Ltd as the operator stays, because the law requires the people being checked to know who processes their data.
Account type
This decides whether you can create boards underneath yours, and who can read whose records. An individual organisation can become a partner at any time, including once it already has boards underneath, because that only ever takes record access away. Every other change closes once there are boards, since it would either hide boards you still pay for or redescribe boards somebody else is working in.
Want your own logo, colours and web address on it? White labelling is a one-off set-up fee and a twelve-month term — ask us and we switch it on.
DBS applications
Choose which of your places may start a DBS application. Everything is off until you switch it on here. Switching a place off stops new applications there; ones already started carry on to the end and are never removed.

What you call your places
What do you call the places in your group? Choose the word that suits you. It changes the words on your screens and in the emails we send about them, and nothing else.
Email history
Every message we have sent this account, newest first, and what became of it. If somebody says an alert never arrived, this is where to look — a bounce is recorded here even though the email left our end successfully.
| When | What | To | Outcome |

Plan and invoices
Owners and administrators can see this and update the payment method. Changing the plan up or down and cancelling are the owner's, in Change plan or cancel.
| Invoice | Date | Amount | Status |

Support access
Daily DBS cannot see your board. If you have raised something with us, granting support access lets us look — for as long as you choose, and no longer. It is recorded in your access log, and you can end it at any moment.
Customers and trials
Accounts, the people who can sign in to them, and how far each one has got. Nobody's monitored records appear here — to see a board, the customer grants support access from Admin → Support access on their own board.

Handling policy not yet adopted
Organisations that have not adopted the current wording, and how many times they have been shown the prompt. There is no extension and nothing is blocked: a record of “told them many times over many days” is the evidence that we did our part, and the right response to the few on this list is a phone call. Zero shown means they have not signed in since it went live.

DBS prices: the default list
What everybody pays unless they have a list of their own. A list is never edited: to change a price, add a new list that starts on a later date. Each price has three parts: the DBS fee (passed through, no VAT), TrustID’s part (VAT) and our margin (VAT). A discount takes money off our margin only.
Outbound emails
Every email the system sends, built by the same code that sends it, filled in with sample people and sample links. Nothing here is sent and nothing here is a real customer.
