Does this replace the DBS check itself?

No. Daily DBS monitors certificates that are already on the DBS Update Service; it doesn't issue them. If someone needs a new check we can arrange it through our partner umbrella body, and once it's issued and joined to the Update Service, we monitor it from then on.

Do you see what's on someone's certificate?

Never. The Update Service tells us only whether a certificate is still current or whether new information has been recorded since it was issued. If there is new information, the person applies for a fresh check and your organisation sees the detail, as now. We don't.

Can you register someone on the Update Service for us?

The individual has to subscribe themselves, during the application or within 30 days of the certificate being issued. What we do is send them the link, explain what to do, remind them before the window closes, and add them to your board once they're live. That's the £3 onboarding option.

What happens if someone's subscription lapses?

We send renewal reminders in the weeks before it's due. If it lapses anyway, the certificate drops off the Update Service, our next check reports it, and you get an alert that morning — because that person is no longer being monitored by anyone until they get a new check.

Is this legal? Do we need the person's permission?

Yes, and yes. A status check can only be made by an organisation that holds the individual's authority and is entitled to see that level of check. The portal records that consent against each person, and each check is made in your organisation's name. We act as your data processor under a written agreement.

How do you keep our data safe?

Your data sits in an encrypted database hosted in London. Isolation between organisations is enforced by the database itself, so one customer can't see another's records. Logins use email verification with optional two-factor authentication, every check and change is logged, and we're registered with the ICO (reference ZB390453). Our privacy notice has the detail.

We only have volunteers — is it worth it?

Volunteer checks and Update Service subscriptions are free from the DBS, so the cash you'd save is mostly admin and ID fees plus your own time. The real reason charities use us is that a change is caught in a day rather than up to three years later, and nobody has to run a renewal campaign. The calculator on the pricing page shows both sides honestly.

What does an alert actually look like?

An email the same morning to the contacts you've chosen, naming the person, what changed and what to do next, with a link to their record on the board. Alerts for a change of status are sent once, not every day; you clear them when you've acted.

Can we export our records?

Yes, at any time, as a CSV of every person, their status, last-checked date and full check history. It's what you'll want when an inspector, auditor or trustee asks how you know everyone is still clear.

What if we want to stop?

Organisation plans run for a first year, then roll monthly with 30 days' notice. Export your data, and we delete it within 90 days of your account closing.
