Terms of service

Last updated 14 September 2026. These terms govern use of the Daily DBS service and website, provided by AOW Group Ltd trading as Daily DBS ("we", "us").

1. The service

Daily DBS checks the status of DBS certificates on the DBS Update Service on your behalf, records the results, and notifies you of changes. We do not issue DBS certificates, we do not see the content of any certificate, and we are not connected to the Disclosure and Barring Service. The service supports your safeguarding decisions; it does not make them, and it does not replace your own procedures or legal duties.

2. Your responsibilities

  • You confirm that you hold each individual's authority to check their DBS status and that you are entitled to receive information at that level of check, and you will withdraw a person from monitoring when that authority ends.
  • You will provide accurate details and keep them up to date.
  • You will keep your login credentials secure and tell us promptly of any unauthorised use.
  • You will act on alerts in accordance with your own safeguarding procedures.

3. Plans, fees and payment

Fees are set out on our pricing page and exclude VAT. Organisation plans are for a minimum initial term of 12 months, billed monthly by Direct Debit or card, or annually in advance at the published discount. After the initial term the plan continues month to month and either party may end it on 30 days' written notice. If you end an organisation plan during the initial term, the remaining months of that term become payable. Your plan band is set by the number of people monitored; we move you to the appropriate band when your headcount passes the band's upper limit including its 10% allowance, and tell you before we do so. One-off fees (onboarding, new DBS checks) are payable in advance and are not refundable once the work has started. Individual plans are payable annually in advance; consumers have a 14-day right to cancel from the date of purchase for a full refund, unless monitoring has begun at their request.

4. Data protection

For personal data you provide about the people you monitor, you are the controller and we are your processor. Our privacy notice and the data processing agreement incorporated into these terms set out how we handle that data, our sub-processors, and our security measures. Partners who monitor people on behalf of their own customers appoint us as sub-processor and are responsible for ensuring their own agreements with their customers permit this.

5. Availability and accuracy

We aim to check every certificate on every calendar day and to notify changes the same day, and we tell you in the portal if a day's checks could not be completed. The status information comes from the DBS Update Service, and we cannot control its availability or the accuracy of what it returns. We are not liable for loss arising from delay or error originating with the DBS, from inaccurate details supplied by you, or from your own decisions taken on the basis of an alert.

6. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, our total liability to you in any 12-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss.

7. Ending the service

You may export your data at any time. On termination we delete your data within 90 days, save for records we must keep for legal or accounting reasons. We may suspend or end the service if you breach these terms, fail to pay, or use the service in a way that could bring it into disrepute or breach DBS conditions.

8. General

These terms are governed by the law of England and Wales and the courts of England and Wales have exclusive jurisdiction. We may update these terms; we will give at least 30 days' notice of changes that materially affect you.
